  2. Limit Work in Progress (WIP): Kanban focuses on limiting the number of tasks in progress at any given time. This helps to prevent overloading team members and keeps focus on completing tasks before starting new ones. Emphasizing focus is a fundamental principle within any agile organization.
  3. Focus on Flow: Ensuring smooth flow of work, because who likes traffic jams in their project pipeline? This involves identifying and removing bottlenecks and inefficiencies, which can slow down production or lead to huge backlogs or value not reaching our clients.
  4. Continuous Improvement: Kanban encourages regular reflection and adaptation. Teams are expected to continually analyze their workflow and processes, making adjustments to improve efficiency and effectiveness. Kaizen is another Japanese concept that focuses on the elimination of wasting resources, time, material, etc.
  5. Empowerment of Team Members: Kanban promotes a collaborative and transparent work environment where team members have visibility of the entire workflow. Empowering team members to make decisions – because team members having the information can make the best decisions in their focus areas.

These principles make Kanban an effective tool for teams looking to improve their productivity and workflow in a flexible, adaptable manner.

Why use Kanban?

Kanban’s flexibility makes it a perfect fit for teams and projects of varying sizes and types. It helps in breaking down complex tasks into manageable units, making it easier to track progress and identify bottlenecks. By visualizing work, teams can better understand their workflow, leading to improved efficiency and productivity. Kanban also enhances team collaboration, as everyone is aware of the work stages and can coordinate efforts more effectively. Kanban is integral to agile methodologies, influencing frameworks / methodologies like Scrum, SAFe (Scaled Agile Framework), LeSS (Large Scale Scrum) and also Lean Portfolio Management. Its core principles, such as limiting work in progress, and managing flow, are the base of all these methods.

Let’s have a look at the following example: Scaled Agile, the company behind the widely adopted SAFe Framework, emphasizes that SAFe is fundamentally a flow-based system, a crucial aspect of any agile methodology. The latest version of SAFe (6.0) notably enhances the focus on coaching the flow of value throughout the enterprise, facilitating continuous value delivery.

The core principles of SAFe’s Flow closely align with those of Kanban, including limiting work-in-process (WIP), eliminating bottlenecks, reducing handoffs, continually improving by seeking feedback, and refining batch and queue sizes for optimization.

Kanban Key Performance Indicators (KPIs)

To effectively implement Kanban, teams must track specific KPIs such as Lead Time, Cycle Time, Throughput, and Work in Progress (WIP). These metrics provide insights into the efficiency of the workflow and help identify areas for improvement.

  1. Lead Time: The time taken from the moment a task is requested until it is fully completed.
  2. Cycle Time: The actual time spent working on a task, excluding any waiting periods.
  3. Throughput: The number of tasks completed in a given time period.
  4. Work in Progress (WIP): The number of tasks that are being worked on at any given time.
